Member Guide

Everything a member can do on the web portal and in the app — signing in and household profiles, the timetable and bookings, memberships and billing, the wallet, events, personal training, courses and settings.

Signing In, Profiles & the Household

One login can hold a whole family. An account belongs to the person paying; every person who trains has a profile under it, and the profile currently selected is what the rest of the portal acts on.

What Users Can Do

One account, many people

The main holder adds household profiles, uploads a photo for each, and acts on their behalf across booking, wallet, events and personal training without logging out.

Consents captured once

The gym's required consents are collected at registration and again for each new household profile, and are visible and editable afterwards in settings.

Emergency details that travel

An emergency contact and medical notes sit on the profile, so whoever is on the mat has them without asking at the desk.

Your own data, on request

The account holder can request permanent deletion from settings, behind a two-step confirmation. Staff process it as a formal request rather than a button press.

Core Workflows

Set up a family account

  1. Register as the person who will pay, and accept the required consents.
  2. Open Settings and add a profile for each person who trains, with their date of birth and photo.
  3. Accept the consents for each new profile as you create it.
  4. Switch profile whenever you want to book or pay for someone else.

Rules & Access

  • Date of birth is required on every profile — plan age ranges and junior class filters are built on it, and it cannot be edited freely afterwards.
  • Only the main account holder can add profiles, change payment methods or buy for the household.

Operational Notes

  • The same credentials sign you into the app; the profile you pick there and here are independent choices, made per device.
  • A gym can cap how many profiles one account may hold.

Limitations & Risks

  • A profile cannot be moved between accounts on your own — ask the gym, who can do it from the staff console.
If someone in the family is missing from the timetable's who-is-this-for chips, they have not been given a profile yet — add them in Settings, not at the desk.

Timetable, Classes & Bookings

The public timetable is readable by anyone. Signed in, the same classes gain prices, spaces, who a booking is for, and every way you are allowed to pay for it.

  • A class can require an active membership, the membership fee, or remaining plan credits — the block always says which, with a link that fixes it.

What Users Can Do

Every way you can pay, in one dialog

The class dialog lists membership entitlement, card, cash at the gym, wallet credit, a plan credit, a day or weekend pass and a free trial — and greys out the ones you cannot use today with the reason in plain words.

Booking for someone else

Account managers pick the household profile a booking is for with inline avatar chips before choosing how to pay, so a parent never books themselves into a juniors class by accident.

Filters that already know your age

The discipline and age-range filter opens pre-set from the selected profile's date of birth, so a junior's timetable is a junior's timetable.

Cancelling, and what comes back

Cancelling inside the gym's cut-off returns what you paid with — the card is refunded, credit goes back to the wallet, a pass is restored, a plan credit is re-issued.

Getting in on the day

Every booking carries a QR for the desk to scan, and class and event bookings can be added to Apple or Google Wallet.

Core Workflows

Book a class

  1. Open Classes and pick the day.
  2. Choose who the booking is for, if you manage more than one profile.
  3. Open the class and read the coach, length, price and spaces left.
  4. Pick a payment option and confirm; it appears under Bookings straight away.

Cancel a booking

  1. Open Bookings and find it under Upcoming.
  2. Cancel. The screen tells you whether the cut-off has passed.
  3. Inside the cut-off, the refund is made on the instrument you paid with and the space is released.

Rules & Access

  • The booking window limits how far ahead a class can be booked, and the cancellation cut-off limits how late it can be dropped. Both are the gym's settings, not fixed by the software.
  • A class can require an active membership, the membership fee, or remaining plan credits — the block always says which, with a link that fixes it.
  • Group-only classes stay visible so you can see they exist, and say why you cannot book them.

Operational Notes

  • Finished sessions grey out behind a Past overlay rather than disappearing, and the view scrolls itself to the next upcoming class.
  • Closed days show a closure card instead of an empty column.

Limitations & Risks

  • Wallet credit is money you have already put in; it is not a class pass and it does not extend a membership.
  • A cancellation after the cut-off frees the space but does not refund — that is the policy the gym publishes, and the screen says so before you confirm.
The class dialog is the honest one. If a payment option is missing there, it is not available to you for that session — the reason is written beside it.

Membership, the Membership Fee & Billing

  • Plans carry an age range, so a plan can disappear from the list simply because the profile is too old or too young for it.

What Users Can Do

A wizard, not a maze

Buying a membership is one modal: who it is for, which plan, whether the membership fee applies, then payment method and billing day — with the pro-rata amount shown before you agree to it.

Household discounts applied for you

Where the gym runs a household discount, it lands on the cheapest qualifying membership automatically and shows on the line it discounts. There is nothing to claim.

Classes used this cycle

On a limited plan, a progress bar says how many of the cycle's classes are gone — on the membership page and again in the booking dialog.

Pausing and stopping

Members request a freeze for a date range, or request cancellation and see the date it takes effect, and can withdraw either while it is still pending.

When a payment fails

A failed charge is said out loud, with the date of the next attempt and what to do about it. The membership is not silently cancelled underneath you.

Core Workflows

Put a second child on a plan

  1. Open Membership as the main holder.
  2. Start the wizard and pick the child's profile.
  3. Choose the plan; the age range decides which are offered.
  4. Pick the card and billing day, check the pro-rata figure, and confirm.

Fix a declined card

  1. Open the dashboard and read the action-needed block.
  2. Go to Payment methods and add a working card, or make another one the default.
  3. Wait for the next attempt on the date shown, or pay at the desk.

Rules & Access

  • Only the main account holder buys, changes or cancels memberships and manages cards; other profiles see the same information read-only.
  • Plans carry an age range, so a plan can disappear from the list simply because the profile is too old or too young for it.
  • Billing days are chosen from the set the gym allows, not any day of the month.

Operational Notes

  • The membership fee is the gym's own periodic fee. Whether it applies at all, and to whom, is set by the gym — many never switch it on.
  • Prices are the gym's. Cards are charged through the gym's own payment account, and the platform never sits in the payment path.

Limitations & Risks

  • A membership bought part-way through a cycle is pro-rated once, at purchase. The figure shown at that moment is the figure charged.
  • Yearly plans are charged yearly; a freeze or cancellation on one takes effect at the next renewal rather than the next month.
The next-charge line on the membership page is the whole household's, not just yours. If it looks wrong, the per-profile rows underneath it say which person it came from.

What Users Can Do

A ledger you can actually audit

Every wallet movement is a row with a typed label, a signed amount, the balance after it and any note. Nothing is ever edited away.

Events for the right person

The event dialog registers or cancels, picks a payment method, switches which household profile is going, opens a map link and hands you an .ics or a wallet pass.

Gradings are events

A grading is an event with a belt category on it, so it registers, charges and takes attendance like any other — and the result lands on the member's belt history.

Paying with credit

Shop checkout can draw on wallet credit where the balance covers it, and falls back to a card when it does not.

Rules & Access

  • Events can cap capacity, close registration ahead of the day, and be limited to particular membership plans.
  • A shop item with tracked stock sells out; one marked untracked never does.

Operational Notes

  • Top-ups can sit in a processing state briefly; the ledger distinguishes succeeded, processing and failed rather than showing a balance that is not really there.
  • Whether the shop and the wallet appear at all is the gym's choice.

Limitations & Risks

  • Wallet credit is not refundable to a card as cash — it is spent inside the gym.
  • Removing yourself from an event inside its cancellation window refunds; after it, the place is released but the payment stands.
Top up before a busy week rather than during one — a wallet balance settles instantly, a card payment has a bank between you and the mat.

  • A coach must have rates and availability set before they can be booked at all.

What Users Can Do

Booking a coach, not a slot machine

Only times the coach has actually made available appear, already filtered against what they have booked.

Courses that stay bought

A course is either included with a membership or bought outright for good. Lessons stream through short-lived signed links, so nothing is a public URL.

An assistant that never acts alone

It reads: opening hours, the timetable, your bookings, your membership. When you ask it to book or cancel, it draws a confirmation card and you are the one who taps it.

One thread with the gym

Messages are per account, not per profile, so a family has one conversation with the desk rather than four.

Rules & Access

  • Personal training, courses, forms and the assistant are each switched on per gym; a gym that does not use one simply has no link to it.
  • A coach must have rates and availability set before they can be booked at all.

Operational Notes

  • A personal-training request is a request: the coach approves or declines it, with a note, and you are told either way.
  • With the assistant switched off, the same page still answers from the gym's knowledge base rather than going blank.

Limitations & Risks

  • The assistant answers from what the gym has written down. A question the gym has never answered anywhere gets an honest 'no answer available', not a guess.
  • A personal-training session that a coach cancels refunds automatically; one you cancel late follows the gym's own policy.
Ask the assistant 'what did I book this week' before asking a human — it reads your own records, so it answers instantly and correctly.

Community, Progress & Leaderboards

What keeps people coming back: the gym's feed, a streak that survives a holiday, leagues that reset monthly, and belts that are a record rather than a rumour.

  • Only staff post to the feed; members react.
  • Leaderboards and the feed are each switched on per gym.

What Users Can Do

Streaks with a safety valve

A streak counts training weeks, and a freeze week spends one of a small allowance to protect it. A holiday does not undo a year.

Leagues, monthly

Members are placed in a league, ranked inside it for the month, and promoted or demoted at month end. A recap modal says what happened.

Opting out

Leaderboard visibility is a consent on the profile. A member who does not want to be ranked is not ranked.

Rules & Access

  • Only staff post to the feed; members react.
  • Leaderboards and the feed are each switched on per gym.

Operational Notes

  • Feed photos load through signed links that expire, so a shared URL is not a permanent one.

Limitations & Risks

  • League position is computed from attendance the gym has recorded. A class you attended without checking in did not happen as far as the league is concerned.
Check in every time, even when the coach knows your face. Check-ins are what feed the streak, the league and the gym's own attendance reports.

What Users Can Do

Quick actions

Check in, Wallet, My bookings, Events, Shop, Book PT, Messages, the assistant, Courses and Forms — the grid only shows what this gym has switched on.

The billing card, on the home screen

Total due, the per-member breakdown, a reminder two days before a charge, and a red action-needed block when one failed.

Biometric sign-in

Face or fingerprint unlock is offered right after the first login and can be turned off again in Settings.

Acting for the family

Switching profile refetches that person's prices, wallet and available slots — the app never shows one member's price beside another's name.

Rules & Access

  • Everything below the greeting depends on what the gym has enabled and what the selected profile is allowed to see.
  • Staff roles add a staff section to Settings; members never see it.

Operational Notes

  • A corrupted stored session signs you out rather than crashing the app.
  • Colours, logo and the payment provider load from the gym's server at launch, so the app is the gym's, not ours.

Limitations & Risks

  • Biometric unlock is per device. A new phone means signing in with the password once more.
The home screen's billing card is the same figure as the web portal's band. If they disagree, one of them has not refreshed — pull down.

What Users Can Do

Substitutes shown, not hidden

When a coach is swapped for a date, the card shows the substitute rather than the usual name.

Blocked bookings explain themselves

Membership required, membership fee outstanding, credits exhausted — each says which, and offers the screen that fixes it.

Wallet passes

Class and event bookings add to Apple or Google Wallet, so the QR is on the lock screen at the door.

Closed days

A gym closure shows a card saying so, rather than an empty day that looks like a loading failure.

Core Workflows

Check in on arrival

  1. Open Check in from the home screen.
  2. Scan the QR on the reception screen — it changes every minute, so a photo of it will not work.
  3. The app confirms the class and time; the desk sees you arrive at the same moment.

Rules & Access

  • The week strip cannot be scrolled past the gym's booking window.
  • Age filters come from the selected profile's date of birth and can be widened, but a plan's age range is not a filter — it is a rule.

Operational Notes

  • The list scrolls itself to the nearest upcoming class on open, and greys out what has finished.
  • Group-only classes stay visible to everyone and say why they cannot be booked.

Limitations & Risks

  • Self check-in needs camera permission. Refused once, it has to be granted back in the phone's own settings.
Add the booking to your phone's wallet the moment you make it. It is the fastest thing at a busy door, and it works with no signal.

App Membership & Paying

What Users Can Do

Failures in plain English

A bank decline becomes a sentence a member can act on, with the date of the next attempt, rather than a provider's error code.

Strong customer authentication, handled

Where a bank asks for 3-D Secure, the app takes you through it and comes back to where you were.

Topping up for someone else

Account managers see and top up a managed family member's wallet through the profile chips.

Rules & Access

  • Only the main account holder manages cards and buys memberships; everyone else sees the same figures read-only.
  • Adding a brand-new card may hand you to the gym's payment provider for the card form itself, which is how the details never touch the gym's systems.

Operational Notes

  • The provider behind the scenes is the gym's own account. Money goes to the gym directly and the platform takes no percentage.

Limitations & Risks

  • A card added on one device is available on all of them — it belongs to the account, not the phone.
If a charge failed, check the card's expiry before anything else. It is the single most common cause, and it is a thirty-second fix.

What Users Can Do

One tile, everywhere

The event tile on the home screen and the one in the events list are the same component, so what you tap looks like what you remembered.

Retrying a failed personal-training payment

A session whose payment failed shows in Bookings with a Retry action rather than quietly disappearing.

Invite-only stays visible

An event limited to a group still appears, and says why you cannot register, rather than not existing.

Rules & Access

  • Events can cap capacity and close registration before the day.
  • An event can be limited to particular membership plans.

Operational Notes

  • A grading is an event with a belt category attached; registering for it is registering for the grading.

Limitations & Risks

  • Shop collection and delivery are the gym's arrangements — the app records the order and the payment, not a courier.
Month view is the one worth learning. Gradings and seminars are planned months out, and the week view only ever shows you seven days of them.

App Courses, Notifications & Settings

The last tab: the video library, the gym's messages and forms, what the app is allowed to notify you about, and every preference that follows the profile rather than the phone.

Routes & Page Guide

What Users Can Do

Appearance and language

System, light or dark, and a language chosen per profile — both persist across launches.

Honest notification state

Turning a notification on in the app when the operating system has them blocked says so, rather than pretending it worked.

Offline-tolerant gym info

Opening hours and closures load live, and fall back to a bundled copy when there is no signal.

Rules & Access

  • Courses, forms and the assistant appear only where the gym has switched them on — the section header disappears with the rows, so nothing looks broken.

Operational Notes

  • Lesson video plays through short-lived signed links, so a course cannot be shared by copying a URL.

Limitations & Risks

  • Belt history is what the gym has recorded. A grading awarded before the gym started using the platform is only there if it was imported.
Set the language on the profile, not the phone. It follows the person to any device they sign in on.
